Why a Wedding Day Timeline is Important
A wedding day timeline is crucial for ensuring that your day runs smoothly. It helps you organise the sequence of events, manage time effectively, and coordinate with suppliers.
By having a clear timeline, you can reduce stress and enjoy your wedding day to the fullest.
Right, let’s get one thing straight – a timeline isn’t about being boring or killing the vibe. It’s about making sure you’ve got time for everything that’s important to you without feeling like you’re rushing around like a headless chicken. You’ve spent months, maybe years, planning this day. The last thing you want is to be stressing about where you’re meant to be when, or worse – missing out on moments because there wasn’t enough time.
A proper timeline gives your day structure. It makes sure the food’s served on time (nobody likes a hangry guest), you get all the photos you want (trust me, this is a biggie), and you can still hit the dancefloor for your favourite tracks. For you creative couples planning alternative weddings, a timeline lets you fit in all the personal touches that you’ve planned to make your day yours – whether that’s a food truck, a tattoo station, or a late-night rave sesh.
And here’s the best part – a wedding day timeline means less stress. When you know what’s happening and when, you can just relax and soak it all in. Leave the clock-watching to me, or your planner. Your only job is to have a bloody brilliant time.
Key Moments to Include in Your Timeline
Now, every wedding is different, but there are a few key moments you’ll want to make time for. Here’s a little run-through of the big bits:
Getting Ready
This is where the magic starts. Whether you’re getting glammed up with your best mates, sipping a cheeky prosecco in your dressing gown, you want to make sure you’ve got enough time to relax and enjoy it. If I’m taking photos, I’ll catch all the good stuff – the laughter, the nerves, the dodgy jokes from your mates.
It’s also a good idea to factor in some buffer time here (more on that later) in case anyone’s late or your hairdo takes longer than expected.
The Ceremony
Whether you’re doing a quick registry office job or a full-on celebrant lead celebration of you two, the ceremony is the main event. Give yourself plenty of time in your wedding day timeline for guests to arrive, and don’t forget to factor in your travel time. I always recommend leaving 15 minutes before you need to, just in case of traffic!
And hey, if you’re planning a surprise entrance or something a bit out-there, let me know – I’ll make sure I’m in the right spot to capture it all.
Group Photos
Now, I know some of you might be rolling your eyes at this one, but trust me, the family shots are important to have. The trick here is to keep it short and sweet. As your wedding photographer, I ask my couples to give me a list of no more than 10 group set ups. This makes sure you have got the photo with the most important people to you, without this taking over your day. I like to spend 15 minutes doing these photos, so expect military action Steph!
That way, we can get it done quickly and you can get back to mingling with a drink in hand.
Couple Portraits
Ah, the good stuff. This is where we take a wander for some one-on-one time (well, you two and me with my camera). It’s your chance to take a breather, soak up the fact that you’re actually married, and get some killer shots while we’re at it.
I like to spend 20 minutes with you in the afternoon during your drinks reception. The light will be perfect, you have your glasses of bubbly in your hand and your on cloud 9 for just getting married.
Then in the evening, when your dinner has settled and you’re getting ready to party the night away, we will spend 10 minutes getting some fun, party vibe photos of the two of you.
Trust me, you’ll appreciate these photos, so don’t skimp on this part of the day.
Drinks Reception
This is the time you get to celebrate with all your nearest and dearest after you've just said I DO. This is a beautiful time for me as a wedding photographer to capture all those happy candid moments of you and your guests.
You don't want to feel rushed, downing your drinks before your speeches or meal, so I recommend a 1.5/ 2-hour slot in your wedding day timeline; this is the sweet spot.
Pro tip - canapes! Whether it's boujee mini yorkshire puds, a crisps wall or a pretzel stand, you and your guests will be thankful for a little nibble.
Speeches
We all love hearing your best man spill the beans on some of your most embarrassing moments, your dad sharing your childhood memories and hearing the two of you share your love for each other.
The speeches need to keep the energy high and not lead into waffling on. I'd recommend each speech being 10 minutes. This is the sweet spot of enough time to share some hilarious stories, but not too much time that delays you all tucking into some yummy food. And yes, do your speeches before your food! That way all the formalities are done and you and your guests (especially the speech givers) can relax and enjoy their food.
The Party
Let’s be honest, this is what most of you are really excited about – the party. Whether it’s a tipi rave in a field, a big ol’ boogie in a barn, or just a good old knees-up in a pub, make sure there’s enough time for the fun stuff.
And don’t forget the first dance in your wedding day timeline – even if it’s just a quick shuffle before everyone else piles on the dance floor. Your first dance is the sign for everyone to get up and get on the dance floor!
Tips for a Stress-Free Wedding Day Timeline
Now, I know planning a wedding can feel a bit like juggling flaming batons while riding a unicycle, but it doesn’t have to be that way.
Here are my top tips for keeping your timeline stress-free:
Build in Buffer Time
Weddings are like buses – something’s bound to run late. Whether it’s a hair emergency or Uncle Dave getting lost on the way to the venue, a bit of buffer time here and there can save the day.
Prioritise What Matters Most
Decide what’s most important to you and make sure there’s plenty of time for it. Love live music? Make sure your band or DJ has plenty of time to shine. Obsessed with photos? Let’s plan enough time for portraits and creative shots.
Work with Your Suppliers
Your suppliers (that’s me, your caterer, your DJ, etc.) are here to help. We’ve done this before and can help you figure out the best flow for your wedding day timeline.
Trust us – we want it to be as brilliant as you do.
Keep It Flexible
A timeline is a guide, not a rulebook. We all know weddings never run on time, this is why adding buffer time is always needed! If things run a bit late or you want to stay on the dancefloor a bit longer, that’s fine, don’t stress it. It’s your day – let your suppliers handle the stress for you.
